We kindly ask for a £100 per person non-refundable deposit upon time of booking.
Your Booking - General Conditions
Your provisional booking will be held for 14 days, until a deposit is made to confirm the visit. Within this time frame, should another client subsequently wish to book and confirm the same date(s) - you will be asked to confirm your booking within 48 hours. Chart Hills reserve the right to release the provisionally held date(s) if the deposit is not received.
A deposit of £100 per person is required to secure the booking and this is to be paid in full in one payment by the organiser.
If guests cancel prior to 60 days (or more) in advance, the deposit will be fully refunded. After the 60 days, the deposit is non-refundable.
Full payment of the balance is due no later than 14 days prior to your booking. If any cancellation or reduction in numbers occurs beyond this point, then the full payment will be retained.
Prior To Arrival
Before your visit, our team will email you with guest registration forms and an order list for room refreshments. These will need to be completed and refreshments paid for ahead of arriving, and sent back over to the reception team.
On Arrival/During Your Stay
The organiser’s credit card details will be taken on arrival at Chart Hills and for security reasons, or in the event of non-payment and/or damage, we reserve the right to take payment.
In the event of guest’s behaviour being unacceptable, the management team reserves the right to insist upon the offending individual(s) immediate departure. Moreover, the individual(s) undertakes the responsibility to pay all costs associated with any damages resulting directly or indirectly from the behaviour or conduct of the individual, or the individual’s guests.
Any additional costs incurred at The Barn at Chart Hills, over and above what is included within the Barn package, will be charged to the card on file.
Weather Policy
• In the event of bad weather, please take note of the below to understand how this might affect your booking.
Lightning
In the event of lightning, golfers out on the course should cease playing immediately after the sounding of the horn. Retreat to the nearest shelter or building, until the immediate lightning threat has passed.
If it is safe to do so, golfers may then return to their places on the course and complete their round.
If green fee-paying visitors decide to abandon their round, rather than wait for the lightning to cease, refunds will not apply. Should the lightening cause the golfer to miss their tee-time, reasonable endeavours will be made to reschedule either later that day or the following day depending on availability.
Heavy Rain
In the event of heavy rain, we only offer a credit if the course is deemed unplayable by our General Manager, and subsequently closes. Due to the value of the package, a refund would not be applicable due to rain.
Unless the course is closed, it is up to the discretion of the player as to whether they wish to continue/start their round when it is raining. If chosen not to play, no refunds or credits will be issued.
Frost
Golfers are advised that should there be a morning frost, there may be a delay to starting the round. All delays and changes to tee times will be communicated with those playing, but the condition of the course will be the main priority when making the decision to allow play.
Liability
Chart Hills’s cannot accept any liability or responsibility for loss or damage to belongings when guests are on-site. Persons wishing to leave their belongings or vehicles on the premises do so entirely at their own risk. Furthermore, Chart Hills’s cannot accept any liability or responsibility for damage or injury to any visitor, or their property.
